Executive Assistant
Job Overview:
Our client, an established hedge fund, is seeking an Executive Assistant. The ideal individual will work closely with and provide administrative and personal support for the Investor Relations team (2 individuals). This individual will also work closely with the broader Executive Assistant team and other functional areas of the firm (e.g., portfolio management, Operations/Finance, Legal and Compliance). HOURS: 8am – 5:30pm
IN OFFICE REQUIREMENTS: 4 days in office/Fridays remote & August REMOTE
COMPENSATION: $100-160k base + bonus eligible + lunch daily + excellent benefits overall and great culture!

Responsibilities of the Executive Assistant:
-Scheduling meetings (in-person or virtual via zoom) with existing and prospective investors, coordinating investor roadshows to different cities
-Organizing materials ahead of meetings and roadshows, including detailed schedules for the
Investor Relations team as well as investor-facing marketing documents (e.g., printing fund presentations and quarterly letters)
-Creating and updating various tracking spreadsheets (e.g., investor meeting tracker)
-Assisting in the maintenance of the investor data room on Intralinks, including managing distribution lists and uploading documents
-Managing calendars and contacts in Outlook
-Providing a level of personal support such as ordering lunches, handling personal requests,
travel arrangements, making reservations, appointments, etc.
-Sending packages via couriers and messengers and running errands as needed; scanning
documents as needed
-Answering phones and screening calls, covering other lines as needed
-Working with office manager and other executive assistants on ad-hoc assignments such as
vacation coverage for others when needed
-Reconciling monthly expenses for submission to office manager
Requirements of the Executive Assistant:
-2-5 years’ experience in the EA/Support role
-Bachelor's degree
-Previous experience in an administrative capacity (experience with Outlook, basic Excel)
-Strong desire to be a top-notch Executive Assistant
-Excellent organizational skills and attention to detail
-High level of responsiveness, professionalism, courtesy, and strong interpersonal skills
-Ability to multi-task, prioritize, work in fast paced environment, follow-through and close
the loop on all tasks
-Can-do attitude; ability and willingness to take on ad-hoc projects as needed; flexible and open
to feedback
-Ability to work individually as well as with other members of the team; strong commitment
to teamwork
-Communicates well both verbally and in writing
-Ability to maintain confidentiality is critical
-Experience with CRM systems a plus in particular Backstop and Intralinks
-Verification of identity, education, prior employment, and references may be required
