Our client, a top PE firm based in NYC is seeking a highly organized and proactive Executive Assistant to provide administrative and operational support to two Managing Directors on the Digital Investment Team. This role is ideal for a detail-oriented professional who thrives in a fast-paced environment and is adept at managing complex schedules, coordinating travel, and handling confidential information with discretion.
Job Title: Executive Assistant – Digital Investment Team
Location: New York, NY (Hybrid position 4 days in office, 1 day work from home)
Compensation: $100-130K range DOE + paid OT + bonus + benefits
Hours: 9am – 6pm
Degree: Preferred
Key Responsibilities:
- Provide high-level administrative support to two Managing Directors, ensuring seamless daily operations.
- Manage complex calendars, including scheduling meetings, conference calls, and events across multiple time zones.
- Coordinate domestic and international travel arrangements, including flights, accommodations, ground transportation, and itineraries.
- Prepare and process expense reports, invoices, and other financial documents in compliance with company policies.
- Act as a liaison between executives and internal/external stakeholders, ensuring efficient communication and follow-up.
- Handle confidential and sensitive information with discretion and professionalism.
- Assist in the preparation of presentations, reports, and other business documents as needed.
- Support the coordination of investment team meetings, including agenda preparation, material distribution, and note-taking.
- Manage special projects and ad hoc assignments as required.
Qualifications and Experience:
- Bachelor’s degree preferred.
- 5+ years of experience in an Executive Assistant or similar administrative role, preferably within finance, private equity, or investment management.
- Strong organizational skills with the ability to multitask and prioritize effectively in a dynamic environment.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other productivity tools.
- Ability to exercise sound judgment and discretion while handling confidential information.
- Exceptional attention to detail and a proactive, problem-solving mindset.
- Experience supporting senior executives and managing complex travel and scheduling.
- High level of professionalism and ability to interact effectively with internal and external stakeholders.
