Our client, a leading advisory firm, is seeking an Executive Assistant to provide high-level administrative support to executives, senior managers, or other high-ranking executives in their Tampa, Florida office. The role involves managing schedules, communication, travel, meeting coordination, and a variety of other tasks that help ensure the smooth operation of the executive’s day-to-day responsibilities. This role also involves handling sensitive and confidential information, and ensuring that operations run smoothly and efficiently.
Key Responsibilities of the Executive Assistant:
-Calendar Management: Schedule and organize appointments, meetings, and events. Ensure that the executive's time is well-managed and optimize their schedule based on priorities.
-Travel Arrangements: Plan and organize travel, including flights, hotels, transportation, and itineraries. Ensure travel logistics are smooth and cost-effective.
-Meeting Coordination: Organize and schedule meetings, including booking meeting rooms, preparing agendas, and ensuring that all necessary materials and participants are available. Follow up on action items from meetings.
-Document Preparation: Draft, proofread, and format correspondence, reports, presentations, and other documents. Maintain accurate filing systems for easy retrieval of documents.
-Expense Management: Handle and track expenses, prepare reports, and assist in budget preparation.
-Confidentiality: Handle confidential information with discretion, ensuring privacy and security of sensitive data.
-Liaison Role: Act as a liaison between executives and internal teams or clients. Communicate directives, follow up on requests, and ensure alignment across departments.
-Other Duties: Provide administrative support as needed, including special projects, office organization, or ad-hoc tasks.
Requirements of the Executive Assistant:
-A Bachelor’s degree is preferred.
-At least 5-7 years of experience in an administrative support role, with a strong preference for executive-level support experience.
-Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
-Strong ability to manage multiple tasks, prioritize effectively, and meet deadlines in a fast-paced environment.
-Excellent written and verbal communication skills, with the ability to interact professionally with internal and external stakeholders.
-Ability to anticipate needs, solve problems independently, and be resourceful in handling complex situations.
-High attention to detail, ensuring accuracy in scheduling, document preparation, and follow-up tasks.
-Ability to handle confidential matters with professionalism and integrity.
-Verification of identity, education, prior employment, and references may be required
